'Special' thematic files of correspondence are also arranged in alphabetical order within the alphabetised correspondence.

NB. DIR/12/1/7/1: Directions for 'Filing Letters for the Director', Dec 1951 reads as follows:

"1. Letters are placed in Folders which are arranged in alphabetical order in boxes. These letters are arranged in strict alphabetical order in each folder, and where there are several letters dealing with a particular person or subject, these are arranged in order of date.

  1. When the correspondence for a particular person or subject is heavy, a folder is devoted to that particular person or subject, e.g. Library, The Governors, Art School Principals, etc.

  2. Strictly private matters are kept in a special file under the letter "P". These letters are also filed in strict alphabetical order, and when there are several letters for one person these are filed in order of date.

  3. At the end of each year, that is December, all letters are stored and new files opened for the following year.

  4. Letters are kept for a period of five years when they are destroyed.
